In short: NinjaOne SaaS Backup, powered by Dropsuite, is a cloud-to-cloud backup service for Microsoft 365 and Google Workspace. It is licensed per user with unlimited storage, and comes in editions that add Microsoft Entra ID backup, a journaling email archive with eDiscovery and legal hold, or both.
Dropsuite is now NinjaOne
NinjaOne, the IT management software company, completed its acquisition of Dropsuite in June 2025. The Dropsuite service now goes by NinjaOne SaaS Backup, and product listings carry the label "Powered by Dropsuite". NinjaOne says existing backups, retention policies and security controls carry on unchanged, and existing Dropsuite accounts can be connected to the NinjaOne console through its "Bring Your Own Dropsuite" option.
If your quote, invoice or console still says Dropsuite, it is the same service. If you also use NinjaOne for device management, Bring Your Own Dropsuite lets you manage those backups alongside your other NinjaOne workflows.
What it backs up
The service connects to your tenant by API, so nothing is installed on users' devices and the backup copy is held in the vendor's cloud rather than inside Microsoft 365 or Google Workspace.
| Platform | Workloads covered |
|---|---|
| Microsoft 365 | Exchange Online mailboxes (mail, calendars, contacts, tasks), OneDrive, SharePoint, Teams (team structure, channel messages and files) and Microsoft 365 Groups |
| Google Workspace | Gmail, My Drive and shared drives, Calendar, Contacts and Tasks |
| Microsoft Entra ID | Users, Microsoft 365 groups, roles and admins, in the + Entra editions |
Backups are automated and incremental: after the first full copy only changed items are copied, and Exchange Online backups can run several times a day. Restores can be as small as one email or as large as a whole mailbox, OneDrive or SharePoint library, from the point in time you choose. Retention is set by policy, and data is encrypted in transit and at rest.
Editions compared
Every edition is licensed per user and includes unlimited backup storage. The differences are what each adds on top of core backup.
| Capability | Standard | + Entra | + Archiver | + Archiver + Entra |
|---|---|---|---|---|
| Microsoft 365 and Google Workspace backup | Yes | Yes | Yes | Yes |
| Granular and point-in-time restores | Yes | Yes | Yes | Yes |
| Microsoft Entra ID backup with attribute-level restores | - | Yes | - | Yes |
| Journaling-based email archive | - | - | Yes | Yes |
| eDiscovery, saved searches, legal hold and review | - | - | Yes | Yes |
The + Entra editions back up your directory daily, with on-demand backups whenever you need one (for example before a bulk change), and keep 12 months of Entra history. You can search and review snapshots and put back a single changed attribute without overwriting the rest of the object. That is a much longer history than the seven days kept by Microsoft's own Entra Backup and Recovery feature. Each edition is also available to eligible charities and non-profit organisations on non-profit terms; we check eligibility before ordering. Licensing detail for each edition is on softwarelicensing.uk.
Backup versus archiving
Backup and archiving solve different problems, which is why the Archiver editions exist:
- Backup takes copies on a schedule so you can put data back after it is lost. A message that arrives and is deleted between two backups may never be captured.
- Archiving uses journaling, so a copy of every message is recorded as it is sent or received. The archive is built to be searched, held and produced as evidence, years later, regardless of what happened to the mailbox.
Regulated firms, schools and public bodies answering subject access or freedom of information requests, and any organisation that has had to search old email for a dispute, usually need the archive. Journaling captures mail from the day it is switched on, so we check during scoping whether older mail also needs to be imported. For secure sending, see our email encryption guide.
Who it suits
NinjaOne SaaS Backup suits small and mid-sized organisations that want straightforward Microsoft 365 or Google Workspace backup with predictable per-user licensing and no storage limits. It is a good fit when:
- You use Microsoft 365, Google Workspace or both, and want the same backup for each
- You want Entra ID recovery after an incident or a bad admin change
- Compliance requires an email archive with eDiscovery and legal hold
It does not back up servers or virtual machines. If you need those protected as well, look at Acronis Cyber Protect Cloud or Axcient x360Recover, or compare all the options on our Microsoft 365 backup page.
How we help
We confirm which edition fits, connect the service to your tenant with the minimum permissions it needs, agree retention with you, set up journaling for archiving and check the first backups complete. We restrict who can run restores or change retention, show your team how to restore and search, and handle user changes and renewals afterwards. Pricing depends on the edition, user count and term, so ask us for a quote.

How Forever Systems helps with cloud security
We are an independent UK IT and cyber security provider. We supply and support a wide range of security platforms, so we recommend what fits your organisation rather than one vendor's answer to everything.
- Assess first: we review what you already own, especially your Microsoft 365 licences, before suggesting anything new
- Vendor-aware advice across secure access, email, identity, data protection, endpoint, MDR, cloud infrastructure, browser, AI and backup, including Cisco Secure, Check Point Harmony and Sophos
- Deployment and migration from a UK team, from tenant hardening to replacing a VPN or an endpoint product
- Ongoing support: policy tuning, alert handling, renewals and regular reviews
- People and certification too: security awareness training and Cyber Essentials
We work with businesses, schools, charities and public sector organisations.
